Welcome to Event Gazebos. These Terms & Conditions (“Terms”) outline the agreement between you (“the Client”) and Event Gazebos
(“we”, “us”, “our”) regarding the hire of our gazebos, accessories, and related event equipment.
By confirming a booking or making payment, you agree to these Terms.

   

1. Booking & Payment

  • A booking is only confirmed once we have received a deposit or written confirmation via email.

  • The remaining balance must be paid no later than 48 hours before delivery, unless otherwise agreed in writing.

  • We accept payment by bank transfer or other approved methods.

  • All prices are in GBP (£) and may include VAT where applicable.



    2. Cancellations & Refunds

  • Cancellations made 7 or more days before the event date may be refunded minus an administration fee.

  • Cancellations made within 7 days of the event date are non-refundable.

  • Postponements may be accommodated subject to availability.

  • Refunds are issued at our discretion in exceptional circumstances such as severe weather preventing safe setup.



    3. Delivery, Setup & Collection

  • We provide free delivery, setup, and takedown within agreed service areas (subject to access).

  • Clients must ensure clear access to the setup location, free from obstructions or hazards.

  • Gazebos and equipment must not be moved or dismantled by anyone other than Event Gazebos staff.

  • Additional fees may apply for difficult access, long carry distances, stairs, or delayed collection.



    4. Equipment Care & Responsibility

  • All hired equipment remains the property of Event Gazebos.

  • The Client is responsible for the care and security of all hired items from the time of delivery until collection.

  • Any loss or damage (including due to misuse, vandalism, or extreme weather) will be charged to the Client at replacement value.

  • Gazebos are not to be used in winds exceeding 35mph or severe weather conditions.



    5. Safety & Liability

  • Event Gazebos staff will install equipment safely and securely.

  • The Client must ensure guests or third parties do not interfere with, move, or misuse the equipment.

  • Event Gazebos is not liable for injury, loss, or damage caused by misuse of equipment or failure to follow instructions.

  • We hold public liability insurance; proof can be provided upon request.


    6. Add-Ons & Accessories

  • Lighting, heating, flooring, furniture, and decor items are provided as optional extras.

  • Electrical items must only be connected to safe, tested power sources.

  • The Client must not connect unauthorised devices or modify supplied equipment.


    7.  Weather Conditions

  • Gazebos are weather-resistant but not storm-proof.

  • In the event of extreme wind, rain, or snow, Event Gazebos reserves the right to cancel or modify installations for safety reasons.

  • No refunds will be given for disruption due to unsafe weather conditions once equipment has been delivered.


    8. Damage, Loss, or Cleaning Charges

  • Damage or loss of equipment may result in replacement or repair charges.

  • A cleaning fee may apply if items are returned excessively dirty (e.g., mud, paint, food stains).

    9. Use of Images

  • Event Gazebos may take photos of your event setup for promotional purposes unless you request otherwise in writing.

  • We will never photograph private guests without consent.



    10. Force Majeure

  • Event Gazebos shall not be held liable for delays or failure to fulfil obligations due to events beyond our control, including extreme weather,
    accidents, transport delays, or national emergencies.


    11. Governing Law

  • These Terms are governed by and interpreted in accordance with UK law.
    Any disputes shall be subject to the jurisdiction of the courts of England and Wales.
